Timesheets/ Payroll



Timesheets


In the Payroll tab, your timesheets are ready for you to submit electronically. At the bottom of the screen, you can view all timesheets organised by status: Unpaid, Not Received, Awaiting Approval, and Awaiting Payment.


For timesheets with a status of Not Received, you may see a pen icon. This indicates that the client has agreed to authorise the timesheet by providing a signature directly on your device.









Submit Timesheet

To submit your timesheet, at the end of your shift you will need to have it electronically authorised by an authoriser at the client.


Select Shift Details to see all the information related to this Timesheet/Shift.




Review Timesheet

When you select Submit Electronic Timesheet, you can review the shift details, change shift start and finish times if necessary.


If there is anything more we need to know that affects what you expect to be paid for the shift, you can tell us about it by selecting Additional Information, and choosing one of the options (Call Out, On-Call etc.) or by typing any additional information about the shift we need to be aware of.


You will see a Ready for Authoriser button at the bottom of the screen. Select the Ready for Authoriser button and pass your device to your Authoriser to finish the submission.








Client Review

Once you have checked the shift details, and made any changes you needed to, select the Ready for Authoriser button at the bottom of the screen. This will display the Client Review screen.


You should now pass your phone to the person who is authorising your shift (who would previously have signed your paper timesheet) for them to review the shift details, and authorise your shift.


The ? button in the top right opens a help screen with more details.


The Authoriser must select Authorise by Signature to sign the screen of the device electronically.








Select Authoriser

When the authoriser selects Authorise by Signature , a list of authorisers already set up for that client will be displayed.


If the authoriser's name is not on that list, they can add their name and optionally their email address, by selecting the plus button on the top right of the screen.


Once the authoriser has selected their name from the list, the Authorise by Signature screen will be displayed.


You can enter a name in the Search box in order to filter the list.







Signature

Ready for Signature

If the authoriser has their email address stored with their name, they will be automatically emailed a copy of the timesheet, after authorisation, if they leave the green envelope icon highlighted.


When they select Sign, a new screen will display, where they can sign, on the screen, using their finger, or a stylus pen.


Sign

Authorisers should use this screen to sign the timesheet using either their finger or a stylus.



The X button will cancel and close the screen.


The trash can will clear the signature and OK will accept it.


Signature

If the authoriser has their email address stored with their name, they will be automatically emailed a copy of the timesheet, after authorisation, if they leave the green envelope icon highlighted.


The timesheet authorisation, along with the signature, is sent to us when the authoriser selects Submit.


The authoriser's signature is removed from the phone when the timesheet is submitted.



Receipt

When we have received the authorisation for the shift, we will reply with a receipt screen, giving the authoriser, and you, a receipt number, and a summary of the timesheet details.


At this point, the authoriser should hand the phone back to you.


When you select Done at the bottom of the Receipt screen, the Timesheets screen will redisplay, with the shift just authorised displaying as either Awaiting Approval (if we need to approve changes or check anything about the shift) or Awaiting Payment, if the shift has been automatically approved for payment.









View Payslips

To view your payslips for the current financial year, select the Payroll button from the Home screen of the app.


The payslips screen displays a line for each pay period in the current financial year.


If you have received more than one pay for the period, the totals are shown, with a  menu ba displayed to the left of the line. To expand the pay period total, tap the menu bar and the individual payslips for that period will show on separate lines.


To view each payslip, tap the menu bar for the payslip you wish to view, and the payslip will load in PDF format.

Super Payments

To view your superannuation payments, select the Payroll button from the Home screen of the app.


The Super Payments screen shows any payments made to your selected superannuation fund. You can filter the results by specific date periods as well as print a Statement summary for your records.
